Maybe you wanted to say no to a co worker who asked you for help on a project or wanted to decline a social invitation, but

Trust me, when I say I totally understand.

Saying no is hard, especially when you're trying to do it in another language.

It's complicated and there's so much to worry about.

You might worry about using the wrong words, sounding too direct or damaging your relationships, and

as a result, it often leads to saying yes when what you really want to say is is no.

Today I'm going to show you exactly how to say no in English.

You're going to have the exact phrases that native speakers use and understand when to be direct versus indirect.

You're even going to learn how to change your mind.

So if you've said yes to something and you want to change it to a no, you can.

You're going to learn everything you need to do this, including a simple framework that English speakers use to say no politely.

You're also going to learn exactly what to say both at work and in personal situations.

We'll talk about how to handle those persistent requests and as I mentioned, how to back out gracefully when you've already said yes.

Now, that phrasal verb to back out means to withdraw from a commitment or an agreement that you've already made.

For example, if you've agreed to help organize an event, but

later you realize you just can't do it, then you'll need to back out of that commitment.

Now, before we get into the specific phrases, I want to talk a little bit about why saying no in English feels so challenging.

First, in many cultures, saying no is indirectly is the polite way to decline something.

You might hint at being busy or give subtle clues, subtle signals that you can't do something.

But in English speaking culture, we tend to prefer politeness and clarity at the same time.

This doesn't mean being blunt or rude, but

it means finding that perfect balance between being clear and being kind.

So let's start with the basic framework or structure English speakers use when saying no.

And I want you to think about this like a simple three step formula.

The three parts are first, acknowledge the request, then give a clear but brief reason for saying no.

For example, if someone invites you to a party, you might say, thank you for thinking of me, I already have plans that evening and I'd love to join next time.

This response is both clear and polite in English speaking culture, and it follows that structure.

In this example, you're not making any excuses.

You're simply stating the facts while showing appreciation for the invitation.

So how does this apply in a workplace situation?

Let's take a look at a couple of examples where we can apply this three step process.

First, imagine that a colleague asks you to take on an extra project and you know you absolutely cannot do it.

You have so many other things happening at work right now.

Here's how we can apply that structure with a polite, direct no.

First, I appreciate you thinking of me for this project, but

right now my schedule is full with the Johnson report and I just can't take on any anything more.

I'd be happy to share some resources with you that might help instead.

Or let's say that your team wants you to stay late at work.

I need to leave at my usual time today, but I can come in early to help tomorrow.

In each example, you've followed that three step process.

You you've acknowledged the request, given a clear but brief reason for saying no, and

you've ended positively with some kind of offer for another date or another plan going forward.

And now let's transition into how we can apply this same structure in more personal situations.

Now, the only thing we really do differently in these personal situations is we use more casual, more relaxed language.

For example, let's say a friend asks you to help them move and you're not available.

You could say, thanks so much for asking, but I can't help move you this weekend.

I'd love to help you unpack next week instead if that would be helpful.

Okay, so that structure or that framework may seem simple enough to apply, but

what do you do in those tricky situations when someone keeps pushing to get you to say yes?

There's a lot of pressure in those situations, and

many of my students, many native English speakers, will eventually change their mind and say yes, even if they don't want to.

So I want to show you exactly how to stay firm while remaining polite.

The key here is to avoid phrases that suggest maybe.

The moment you suggest maybe that person has more room to keep pushing you until you do change your mind.

So you want to avoid phrases like I'll think about it or Let me check my schedule.

If you don't want to do it next time, and

you definitely don't want to say yes to the request, it's important to be clear and kind.

For example, I need to stick with my original no.

I know it's disappointing, but I simply can't manage it right now.

The language that you're using here is still perfectly polite, but also direct and clear.

And this allows you to maintain that firm position of saying no when you want to.

Okay, now let's talk about the most challenging situation, saying no after you've already said yes.

As I mentioned at the start of this lesson, we call this backing out of a commitment.

It's certainly not ideal, but sometimes circumstances change and we need to do this.

So if you need to change your yes to a no, here's how to do it gracefully.

First, apologize sincerely and then briefly explain what changed.

Now, I don't mean going into all the details.

They don't really need to know, but it is important to let them know that something has changed.

And if you can, you can also offer an alternative.

Then at the end you can express appreciation for their understanding.

So when you put that all together, here's what it might sound like.

I feel terrible, but I need to back out of helping with the school event.

My work schedule changed unexpectedly and I just won't be able to give it the attention I know that it deserves.

Would it be helpful if I found someone else who could take my place?

In that example, you have the apology, the brief description of what has changed.

I've also offered an alternative and expressed my appreciation for their understanding.

With all of this in place, I want to talk about some mistakes to avoid when saying no.

There are a few things I hear my students do from time to time, and

let's make sure that we can avoid them from the very start.

So the first mistake to avoid is over apologizing instead of saying I'm so so so so so sorry, or expressing your apology multiple times.

The second mistake to avoid is giving away too many details that really aren't necessary.

You can keep your explanation very brief and simple.

Quite often when we add too many details, it starts to sound like an excuse.

And the third mistake to avoid is being unclear using that really indirect language or suggesting maybe this just doesn't work.

In English speaking culture, we value clarity with kindness.
